How to choose a wedding vendor
Get everything in a contract
A good vendor contract lists the date, start and end times, exactly what is included, the total price, the deposit, the payment schedule, and the cancellation and rescheduling terms. Make sure any verbal promises are written in. Read the cancellation clause closely before you sign.
Check permits and insurance
Caterers should hold the food service permits your state and county require, and those serving alcohol may need a liquor license. Many venues require every vendor to carry liability insurance, so ask for a certificate early. Your venue coordinator can tell you exactly what they require.
Review full portfolios, not highlights
Ask photographers for complete galleries from a few weddings, not just a few standout shots. Ask florists for photos from real events, and ask caterers whether they offer a tasting. Full examples show you how a vendor handles a whole day, including dim rooms and busy moments.
Compare the total cost
Ask for a written quote that includes service charges, gratuity, taxes, delivery, setup, overtime and travel fees. Venue and catering quotes often add a service charge that is not a tip, so ask how it is used. Comparing totals rather than base prices avoids surprises.
Watch for red flags
Be cautious of vendors who will not put terms in writing, push for full payment far in advance, or cannot give references from recent events. Paying by a method that offers some protection, like a credit card, is safer than cash. A vendor who is slow to reply during booking may be hard to reach later too.
What it typically costs
These are typical US price ranges, and prices in your area may be higher or lower.
Plated versus buffet service, the menu, the bar and staffing levels move the price.
Day of the week, season, city and what is included, like tables, chairs and staff, matter most.
Hours of coverage, a second photographer and printed albums add to the cost.
The number of arrangements, the flowers chosen and the season all affect the price.
Common questions
How far in advance should I book wedding vendors?
Book your venue as early as you can, often about a year ahead for popular dates, then lock in the photographer and caterer soon after. Saturdays in peak season tend to go first. Florists and planners can sometimes be booked later, but booking earlier gives you more choices in your area.
What is the difference between a wedding planner and a day-of coordinator?
A full planner helps from early on with budget, vendor choices, design and logistics, while a day-of coordinator steps in near the end to run the schedule on the day. Despite the name, most day-of coordinators start working with you a few weeks before the wedding. Full planners cost more because they put in far more hours.
How much does a wedding planner cost?
Full-service planners often charge several thousand dollars, while day-of coordination usually costs less. Some planners charge a flat fee and others charge a percentage of the overall budget. Ask exactly which services and how many hours are included before you compare prices.
Should I tip wedding vendors?
Tipping is common but not required, and it depends on the vendor and your contract. Check whether a gratuity is already included in catering and venue quotes, since a service charge is not always passed on to staff. Many couples prepare envelopes ahead of time for catering staff, coordinators, drivers and musicians.
Do I need event insurance for my wedding?
It is optional in many cases, but some venues require you to carry event liability insurance. Depending on the terms, a policy can also cover cancellation or a vendor who fails to show up. Ask your venue in your area what it requires, and read any policy carefully before you buy.
What should a wedding photography contract include?
It should include the date, hours of coverage, number of photographers, how many edited images to expect and when, how they will be delivered, and your rights to use the photos. It should also cover overtime rates and what happens if the photographer is sick. Ask about their backup plan for equipment failure as well.
